Procedures

Check in with the committee chairs frequently to find out about upcoming events (See the committees page for current chairs)

  • Social--They organize the May Tea and Holiday Potluck
  • Program--Gonzo, Edible Book Festival, and varying other events
  • Ways&Means--craft sales

    Note that the May Tea and Holiday Potluck should be scheduled and room reserved six months or more in advance, as the Browsing Room is very heavily booked. Other events should also be scheduled as far in advance as possible.

Publicity for each LSA event should include:

  • Flyer ------------(Send hard copies to departments 3-4 weeks in advance of the event if possible, and, for the big 3 events only, to retirees. Further details below.)
  • LSA News announcement, if possible--(Check deadlines; they don't publish every month. Send plain text.)
  • Iris calendar
  • LSA Events page ----
  • Staff Bulletin
  • Email to the faculty and staff listsoon ---(lib-faculty@lists.uoregon.edu and lib-staff@lists.uoregon.edu)
    Email should only be sent once or twice in a 2-3 month period because we are publicizing in other venues too. We don't want overkill.

LSA offers rides to retirees who wish to attend our big 3 events (Holiday Potluck, May Tea and Gonzo). ***Each LSA flyer for these events should include the Rides Coordinator name and contact info. First get in touch with the Rides Coordinator to confirm that he or she will be available. See the Rides page for more information.

Publicity Distribution:

  • Sending flyers via campus mail

  • Sending flyers via U.S. mail

  • Email publicity

    For the "big three" events (Gonzo, May Tea, and Holiday Potluck) and possibly Edible Books, in addition to sending email to the faculty and staff lists, an electronic copy of the flyer should be sent to former faculty and staff who wish to receive event flyers via email. You may use the library copier to scan a copy of the poster at the best resolution possible.  If in doubt, try a couple of different resolutions.  Email the scans to yourself, and then forward them to the email list.

    A current list of the email addresses is kept at L/Groups/LSA/Publicity/emailAddressesForEvents.doc as well as residing in the current chair's email address book. Be sure to update the list in both places.

Updating distribution lists for former employees:

  • When it is reported (in the Staff Bulletin or other venue) that an employee is leaving the library, Publicity should contact them and ask if they want to be on the mailing list, either email or US mail.

  • Approximately every 5-10 years, need to survey everyone on the email and US mail lists to see if they want to remain on the list. Last time was 2010. Say that if they do not respond by X date, it will be assumed they no longer wish to remain on the list.
