Orientation for LSA Committee Members
Term of office/LSA calendar
LSA composition and representation
- LSA is for all library staff and should plan a variety of events so
there is something for everyone. We may contact branch libraries or
individual departments and ask if there is anything we can do for them,
or co-sponsor events with other groups.
- Committee members should try to make everyone feel welcome and part of
the team. It's important for all LSA volunteers to have a good experience
so they will continue as volunteers and encourage their coworkers to sign
up.
- LSA volunteers should be drawn from new and old staff, faculty and
classified, branch and main libraries, and a variety of departments.
Documents to read
Committee structure
- Chairperson to call the meetings and keep track of projects
- Representative to the Executive Council for occasional Council
meetings
- Web updater
Committee documentation
- Minutes for significant meetings should be posted on the web.
- Decisions and recurring procedures should be documented on the
web.
- An annual report should be mounted on the web by July 31.
Can be very brief, or more detailed. Easiest to add things as they occur
during the year.
- Each committee has a directory on Poison (under Data/Groups/Lsa) where
it can share and archive information that doesn't need to go on the
web.
Budget & Money
- When planning an event, find out from the Ways & Means chair how
much is budgeted for it.
- Complete the reimbursement
form to request reimbursement from the Treasurer for committee expenses.
- Give detailed expenditure information to the Ways & Means chair
as soon as possible following an event.
Event and committee coordination/communication
- Notify Publicity Committee of events right away (they will update
events page, prepare flyer, etc.)
- Try to give notice of major events to library staff at least a month
in advance.
- If the committee has questions, ask the LSA Chair.
- LSA volunteers are automatically subscribed to a listserv:
lsa@lists.uoregon.edu. Feel free to use it! Questions about the listserv
should be directed to Andrew Howell.
